Vochus Global Services (“Vochus”, “we”, “us”, or “our”) is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, share, and protect information about you when you use our platform at service.vochusglobalservices.co.uk and our mobile application (“the Platform”). It applies to customers, service providers, and any other users of the Platform.

We operate under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. By using our Platform you confirm you have read and understood this policy.

1. Who We Are

2. Data We Collect

2.1  Account data: name, email address, phone number, password (hashed), and role (customer or service provider).

2.2  Profile & identity data: profile photograph, passport or government-issued ID scans (for providers only), and staff ID details.

2.3  Location & address data: home or service address and postcode provided during booking.

2.4  Booking data: service type, date, time, package selected, room count, special instructions, and booking status history.

2.5  Payment data: transaction amounts, payment status, and Stripe payment intent references. We do not store full card numbers — all card data is handled directly by Stripe.

2.6  Communications data: messages, notifications, and support requests sent through the Platform.

2.7  Technical data: IP address, device type, browser type, operating system, and usage logs collected automatically when you access the Platform.

2.8  Provider performance data: ratings, reviews, job completion records, and earnings history.

3. How We Use Your Data

3.1  To create and manage your account and verify your identity.

3.2  To process, manage, and fulfil bookings between customers and service providers.

3.3  To process payments securely through Stripe.

3.4  To send booking confirmations, status updates, receipts, and service notifications.

3.5  To verify service provider identity and eligibility before approving their account.

3.6  To display provider staff ID cards and allow customers to verify provider identity via QR code.

3.7  To investigate complaints, disputes, or reports of misconduct.

3.8  To improve the Platform, debug technical issues, and analyse usage patterns.

3.9  To comply with legal obligations under UK law.

4. Legal Basis for Processing

4.1  Contract performance: processing necessary to provide the services you have requested (booking, payments, account management).

4.2  Legitimate interests: fraud prevention, platform security, and service improvement.

4.3  Legal obligation: compliance with applicable UK laws and regulations.

4.4  Consent: where we rely on your consent (e.g. marketing communications), you may withdraw it at any time.

5. Sharing Your Data

5.1  Service providers: we share relevant booking and contact details with the assigned service provider so they can fulfil your booking.

5.2  Stripe: payment data is shared with Stripe, Inc. to process transactions. Stripe’s privacy policy is available at stripe.com/gb/privacy.

5.3  Hosting & infrastructure: your data is stored on secure servers. We use reputable cloud providers that comply with UK GDPR.

5.4  We do not sell, rent, or trade your personal data to third parties for marketing purposes.

5.5  We may disclose data to law enforcement or regulatory authorities if required by law or to protect the safety of our users or the public.

6. Data Retention

6.1  Account and booking data is retained for as long as your account is active and for 6 years thereafter, in line with UK statutory requirements.

6.2  Identity documents (passport, ID scans, profile photos) for providers are retained for the duration of their engagement with Vochus and deleted within 30 days of account closure upon written request.

6.3  Payment records are retained for 7 years to comply with HMRC and financial regulations.

6.4  Technical logs are retained for up to 12 months.

7. Your Rights Under UK GDPR

You have the following rights regarding your personal data:

  • Right of access — request a copy of the data we hold about you.
  • Right to rectification — ask us to correct inaccurate or incomplete data.
  • Right to erasure — request deletion of your data where there is no legal basis for continued retention.
  • Right to restrict processing — ask us to pause processing of your data in certain circumstances.
  • Right to data portability — receive your data in a structured, machine-readable format.
  • Right to object — object to processing based on legitimate interests.
  • Rights related to automated decision-making — we do not make solely automated decisions that produce legal effects about you.

8. Cookies & Tracking

8.1  The Platform uses browser localStorage to store your authentication token and session preferences. No third-party advertising cookies are used.

8.2  We may use anonymised analytics to understand Platform usage and improve the user experience. No personally identifiable information is included in these analytics.

9. Data Security

9.1  All data is transmitted over HTTPS. Passwords are stored using bcrypt hashing and are never stored in plain text.

9.2  Access to personal data is restricted to authorised Vochus staff on a need-to-know basis.

9.3  While we implement industry-standard security measures, no system is completely secure. Please report any security concerns to support@vochusglobalservices.co.uk immediately.

10. Children

10.1  Our Platform is not intended for children under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us with data, please contact us immediately.

11. Changes to This Policy

11.1  We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page and notify registered users by email for material changes.

11.2  Continued use of the Platform after changes constitutes acceptance of the updated policy.
